Job Title: Records Management Assistant Grade III (2 posts)


Report To: Records Management Manager

Duties and Responsibilities:
i. To record letters in the inward and outward registers;
ii. To sort index and file letters in the appropriate files;
iii. To record and maintain the file movements in the transit cards or in thefile movement registers;
iv. To maintain the postage imprest registers;
v. Keep and maintain files in good order;
vi. To make sure that confidential information do not leak at all;
vii. Retrieving files in response to request from staff;
viii. Receive payment schedules and file accordingly;
ix. Keeps and maintain Archives according to standard procedures;
x. Provide effective access to library collections and resources;
xi. Maintain records for the books/materials borrow service;
xii. Respond to daily on-site requests for information needs for libraryusers;
xiii. To carry out any other lawful work related duties as assigned by supervisor.

Desired Profile: Computer literacy, Team player, Ability to work under minimum
supervision, Ability to solve problems and making rational decisions.
Experience: At least one year post qualification experience
Education: Holder of Advanced Certificate of Secondary Education with basic Records

Report To: Zonal Manager

Duties and Responsibilities:
i. To assist in compiling registered data and other informations;
ii. To assist in the preparation of members? identity cards;
iii. To assist in ensuring members? records are properly maintained;
iv. To assist in provision of timely information required by members;
v. To learn all the duties and responsibilities of the entire department;
vi. To carry out any other lawful work related duties as assigned by supervisor.

v. To assist in attending all matters or problems facing members;

Duties and Responsibilities:
i. To collect and dispatch letters and other messages to relevant staff;
ii. To control movements of documents and files;
iii. To make sure that confidential information do not leak at all;

v. To perform some registry duties e.g. the sorting of letters and arranging of file;
vi. To ensure office facilities are clean;
vii. To prepare refreshment for Fund visitors, Senior officials and duringmeetings;
viii. To run errands for the department assigned;

Job Title: Driver Cum Office Assistant Grade IV (10 posts)
Report To: Administrative Services Manager

Duties and Responsibilities:
i. To be responsible for handling and driving Fund pool vehicle assigned;
ii. To distributes mails, cheques and other documents to different places;
iii. To ensure that the Fund vehicle and its accessories are in good and safe working condition before and after making any trip so as to identify any defects;
iv. To carry out minor repairs on the vehicle assigned to him provided in so doing it shall by no means cause more detriment to such vehicle;
v. To keep and maintain a log book of his/her vehicle as required by the Fund Transport regulations;
vi. To maintain accurate, up-to-date records on trip sheets, customer transportation forms, vehicle maintenance, fuel purchases, incident reports, accident reports, vehicle condition reports and other records that are requested from management;
vii. To read and interpret driving directions to plan the most efficient route service for customers;
viii. To fuel the assigned vehicle;
ix. To present safety briefing to passengers prior to each trip departure;
x. To keep the assigned vehicle(s) clean inside and outside;
xi. To carry out any other lawful work related duties as assigned by supervisor.

Experience: Three years accident free proven experience
Education: Holder of Certificate of Secondary Education with Class ''C'' Driving
License. Must have Trade Test Grade III certificate in one of the

Duties and Responsibilities:
i. To assist in processing claims;
ii. To assist in supervising benefit processing activities;
ii. To assist in approving payment of benefits as shall be determined in theFinancial Regulations;
iv. To assist in verifying claims and maintains register;
v. To assist indealing with customer care;
vi. To assist in maintaining records of all pensioners; vii. To assist in dealing with correspondence concerning members? claims; viii. To understand Fund mission, product offering and operations; ix. To carry out any other lawful work related duties as assigned by supervisor.

i. Assisting in examine monthly contributions remittances;
ii. Assist in allocating monthly contributions remitted to individualmembers? accounts;
iii. Assist in ensuring proper reports, statistics and records of monthly contributions maintained and to ensure that specific Objectives and targets are met;

i. Assist in examining validity and accuracy of the claims, tax invoices,and other supporting documents;
ii. Assist in the creation of invoices into Accounting Software in relationto operational expenditure and capital expenditure;
iii. Assist in matching purchase orders and invoices;
iv. Assist in maintaining records of payable Accounts;
v. Assist in printing of payment vouchers for approved payments;

Report To: Pensions Manager

Duties and Responsibilities:
i. To provide office requirements to senior officials;
ii. To handle incoming mails marked for personal attention;
iii. Filing and distributing them;
iv. To receive and guide visitors;
v. To keep a diary of events;
vi. To attend meetings when required and produce a record of proceedings;
vii. To answer independently routine correspondence, such as acknowledgements;
viii. To make follow up of outstanding and urgent replies; i
x. Keeping a record of files in the action for their officers;
x. To answer telephone calls and intercoms;
xi. To take care of all facilities under charge;
xii. To undertake routine correspondence with prior approval of superiors;
xiii. To give information to callers or routine calls to appropriate officials
and places outgoing calls as necessary;
xiv. To liaise with Administrative Services Manager, attends to routine safari arrangements for the senior officers as requested;
xv. To confirm hotel bookings and transport reservations and makes
preparations for imprest accounts, travel arrangements, etc.

than 50 w.p.m., Manuscript Stage III, Tabulation Stage III, Office
Management Stage II and Secretarial Duties Stage II plus Kiswahili or
English Shorthand 80/100 w.p.m.
