Job description
Working with minimal supervision, the individual is required to provide general administrative support to the Human Resources Department including coordination of functions and activities,
reservations and bookings, filing of non-personnel file documents, and management of key administrative functions as may be indicated from time to time.
The administrative requirements of the entire Human Resources Department, its interaction with internal and external customers as well as relevant institutions
KEY ACCOUNTABILITIES
1 .Maintain HRD diary and proactive arrange schedule of activities & reminders
2 .Manage the correspondences of the department in ensuring timely responses and feedback to all relevant customers, suppliers other employees etc
· Team leave tracking
· HR HSE safety tour tracking
3 .Handle all travel arrangements within the department as per requests
· Arrange for travel, visas & accommodation for new employees & re-location as per approved motivation.
• Manage assignee & contractors travel schedule as per their contract of service
4 .Manage cost of refreshment as per approval budget by ensure materials are deliverable on time & right quantity
5 Generate monthly budget status to HR budget owners
•Timely prepare & raise HR requisitions
6 Maintains all departmental records excluding personnel files in line with agreed systems
7. Handle secondee administrative issues as may be required from time to time
8. Assist HRBP’s in the recruitment processes
9. Prepare agenda and keep minutes of all departmental meetings
10. Assist all ongoing HR projects, team building activities as may be assigned with minimal supervision
11. In line with business and other departments, facilitate the social responsibility projects of the company as may be required from time to time.
