The SADC Secretariat invites suitably qualified, experienced, innovative, result oriented and self driven individuals who are citizens of Botswana to apply for the following positions tenable at SADC Secretariat Headquarters.
Personal Assistant to the Executive Secretary - Job Grade 8
Main purpose of the job: To provide administrative support to the office of the Executive Secretary.
Key result areas:
  • Maintaining continuous communication and consultation links between the Executive Secretary and Heads of Units/Directorates and Stakeholders
  • Preparing and dispatching Executive Secretary ‘s correspondence
  • Proof read draft documents before submission for the Executive Secretary’s signature
  • Making external travel arrangements, books road/air transport and a daily update and manages the diary of the Executive Secretary.
  • Screening incoming calls of the Executive Secretary. Handles calls within his/her capacity and appropriately redirects calls as appropriate.
  • Scheduling visitors away from Executive Secretary to protect priority tasks and control interruptions.
  • Relieving the Executive Secretary of routine correspondence by responding on or re-routing to relevant officers as appropriate.
  • Accurately and timeously type letters, memoranda, reports, minutes etc. for Divisional Managers.
  • Setting up appointments and take telephone messages for Executive Secretary.
  • Coordination of Executive Secretary meetings
  • Records and mail management
  • Perform other duties within the scope and intent of the job as to assist the Executives Secretary maintain an office that enhances his/her performance
Qualifications:
National Diploma in Secretarial Studies, Office Administration
Experience:
10 years’ experience with 5 years having as Personal Assistant.
Competencies:
  • Computer literacy
  • Fluency in English
  • Communication and Interpersonal skills
  • Knowledge of French or Portuguese will be an added advantage
Duration of Contract: 4 years
Package: US $ 31134 per annum
Senior Secretary – Job Grade 9
Main purpose of the job: To provide administration and logistical support to the SADC Secretariat.
Key result areas:
  • Providing overall secretarial support to the Secretariat
  • Organising project meetings, workshops and other events
  • Servicing meetings
  • Procures office supplies, travel and courier services
  • Organize and maintain an adequate project filing system
  • Maintain an up-to-date inventory of project assets
Qualifications:
Diploma in Secretarial Management or Office Administration.
Experience:
Minimum of 5 years’ relevant experience
Competencies:
  • Computer literacy
  • Fluency in English
  • Communication and Interpersonal skills
  • Knowledge of French or Portuguese will be an added advantage
Duration of Contract: 4 years
Package: US $ 30857 per annum
